Cinosam Club Minutes August 5, 2023

  1. Meeting called to order at 9:05AM by President, Tim Vescio

Attended by Board Members:  Heather Thompson, John Klauck, Mary Jo Ohlin, Liz Becher,  Tom Froyum, Marc Kmecik, Mark McDonald, Tricia Kane, Kathy Becker

Board Members not in Attendance: Blair McKibbon, Ed Koehler, Sylvie Letts 

A quorum was confirmed

  1. Minutes: Minutes from the July 1, 2023 Board Meeting were read. Motion to approve was made by Liz Becher and seconded by Tom Froyum. Motion carried.
  1. Treasurer’s Report: Liz Becher reviewed the 2023 Operating Budget 

YTD Actual to Budget Financial report through August 2023. Revenue is unfavorable to budget; YTD actual $27,950. – budget is $29,750. Expenses are favorable to budget; YTD actual $20,627.63 – budget is $34,696. Checking balance is $30,005.79. See YTD Financial Notes for recent revenue adjustment and known expense.

Liz also noted that we received a bill for $10k, from Trevor, for the dock work on Outlot 2. After this is paid, the checking account balance will be around $20,000. It was noted that the dock had to be reconfigured /extended and was replaced with aluminum materials. In reviewing currently budgeted expenses, under Dock Material/Dock Preservation, this work is partially budgeted for. At the end of the year, other budgeted Expense Category monies may be able to be applied toward this work, eg, Lot Preservation and Park Maintenance/Upgrades. 

Motion to approve 2023 Operating Budget YTD Actual to Budget Financial report   

made by Tom Froyum and seconded by Mary Jo Ohlin. Motion carried

Board members discussed that there will be more dock expenses in the future that may need to be passed on to those who are leasing boat slips, through an increase in fees. It was agreed that an assessment of the condition of the docks occurs, in order to plan for future budget needs. 

No update was available on the Federal tax-exempt status filing. 

No discussion on WAVE occurred. 

  1. New Business 
  • Elections – ballot results

22 ballots of 117 sent were received; 19% return rate 

  • Three Board positions were filled: Mary Jo Ohlin, Mary Dykes and Sylvie Letts  
  • Four Officer Positions were filled:
    • Tim Vescio, President
    • Mark McDonald, Vice-President 
    • Liz Becher, Treasurer
    • Heather Thompson, Secretary  
  • Road repair applications are still being taken (see bulletin board in Gull Lake Park) or Crow Wing County website 
  • Dog Poo Bag dispenser has been added to the park
    • Code is 333 
  1. Committee reports 
  • Boat Committee 
  • The Boat Slip Layout with Name/Contact resource document was completed
  • Boat Slip Waiting List has the same 38 names

  • Oktoberfest will be October 7th , starting at 4PM
    • Volunteers needed for Brats!
