Cinosam Club Approved Minutes: July 7, 2018

Meeting called to order at 9:00AM by President Mark McDonald.

Attended by Board Members:  Mark McDonald, Ron McKitterick, Julie Carroll, Verna Thompson, Tom Whitehead, Steve Bredeson, Ed Koehler, Jenna Whitehead.

Board Members not in Attendance: Liz Becher, Richard Dillman, Marc Kmecik, Kelly Spratt, John Klauk.

Minutes:  Minutes from the June 2nd 2018 meeting were read by Julie Carroll. Motion to approve by Verna Thompson and seconded by Tom Whitehead. Motion carried.

Treasurer’s Report:  Julie Carroll reviewed the YTD Actual to Budget Financial report through June 2018 in Liz Becher’s absence. Revenue through June is $27,050 and expenses $14,374. Membership dues have been paid by 105 residents vs. the budget of 124. Motion to approve by Tom Whitehead and seconded by Steve Bredeson. Motion carried.

Invoice letters were sent to 81 residents in June and 33 payments were received. Ten letters were returned and Julie is following on obtaining the correct addresses and will do a second mailing. It was decided that invoices will be mailed to residents at the end of December to meet the January payment deadline.

Ginny Wendt will follow up to determine the discrepancy on used vs. paid Kayak/Canoe racks.

Committee Reports:

SAC

The Boat Slip Waiting List has been updated as of July 5th and will be published on the website and on the park bulletin board. There are now 37 names on the list dating back to 2008. There are ten people on the list that have not paid their dues. Our existing rules state that paid members will be allowed boat slips. Julie will forward a list of the unpaid members and Mark will attempt collection before they are notified and removed from the list.

Parks

Boots will obtain an estimate to refurbish the top, bottom and side of the park/beach stairs. Plans are to complete the effort this year. He will look into a walkway/decking for the beach but he doesn’t know if that will be done yet this year.

Boots shared his plans to build a rollup rack attached to the dock for the lily pads on Gull and Round lakes.

Boots and Steve will look into volunteers and/or bids for grass cutting on Round Lake. Boots is tilling the beach and park.

Unfinished Business Ed Koehler has accepted the open board position for a two-year term.

Julie is in the process of updating the Cinosam Member Master list utilizing the Crow Wing County tax records to obtain the correct property owners and addresses.

The draft of the Boat Slip Rules and Regulations was distributed to the Board members by Julie. She discussed some key points and it was determined that we needed a special meeting to continue the discussion and agree on an updated document. A special board meeting will be held on Saturday, July 14 at 9:00AM at the Bredeson’s residence.

New Business

The 4th of July celebration was a success with 170 attendees and $500 in donations. The cost was $450 and a net profit of $50 will be added to Cinosam income. The float prizes were a fun addition. Thank you to the Whitehead family for their hard work putting the celebration and to everyone else that helped set up and take down.

The Annual Meeting will take place on August 5th. Three board terms will be expiring this year: Ron McKitterick, Richard Dillman, and John Klauk. Mark will compose the ballots and agenda and Julie will mail them out before the meeting.

Julie asked if anyone has early Cinosam records (Bylaws, Articles of Incorporation, Minnesota registration, historical minutes, etc.) could they forward them to her to consolidate and add to the website.

Julie will follow with our insurers to obtain Director and Officer’s coverage.

Joey and Tricia have resigned as Oktoberfest coordinators. The Whitehead family will assume the responsibility this year and utilize the leftover supplies and food from 4th of July.

The next board meeting (Annual Meeting) will be on Saturday, August 5th at 9:00AM in the park.
